Privacy Policy

1. Overview

This policy explains what information HesedManage — operated by EdenClay LLC (“EdenClay,” “we,” “us”) — collects, how we use it, and the choices you have.

2. Information we collect

  • Account information: name, email address, and password (stored as a secure hash, never in plain text).
  • Phone number, only if you choose to provide one to enable text notifications.
  • Workspace data: calendar events, tasks, time entries, messages, documents, and worship-scheduling information you or your organization enter.
  • Council-only data,for council members of a workspace: meeting recordings, transcripts, and AI-drafted minutes, visible only within that workspace's council.
  • Usage data: basic technical logs (like sign-in activity) used to operate and secure the Service.

3. How we use information

  • To provide, maintain, and improve the Service.
  • To send account, scheduling, and (if you've opted in) text notifications.
  • To secure accounts and prevent abuse.
  • To respond to support requests.

4. Text-messaging (SMS/MMS) data

If you provide a mobile number and opt in, we use it to send you text notifications you requested (such as serving invitations or message echoes from your church). Text notifications are strictly opt-in, and you can opt out at any time by replying STOP or by disabling text notifications in Settings.

We do not share your mobile number or SMS opt-in status with third parties or affiliates for their marketing or promotional purposes. Your mobile information is used only to deliver the notifications you asked for and is shared only with the messaging provider (see below) strictly to send those messages.

5. Third-party service providers

We use a small number of subprocessors to operate the Service, each bound to use your information only to perform their service for us:

  • A messaging provider, to deliver text notifications you've opted into.
  • An email provider, to deliver account and notification email.
  • For council features only: a transcription provider and an AI provider, to transcribe meeting audio and draft minutes at a council member's request.

6. Data retention

We retain workspace data for as long as your organization's account is active. Meeting audio is deleted from our transcription provider's servers automatically once transcription completes, and any council member can delete a stored recording at any time. You can request deletion of your account and associated personal data by contacting us.

7. Data security

We use industry-standard measures — encrypted connections, hashed passwords, and access controls scoped to your organization — to protect your information. No method of transmission or storage is perfectly secure, but we work to protect your data appropriately.

8. Your rights and choices

  • Update or correct your account information at any time in Settings.
  • Turn off email or text notifications independently, at any time, in Settings.
  • Request a copy of, or the deletion of, your personal data by contacting us.

9. Children's privacy

The Service is intended for adults managing or participating in a church organization and isn't directed at children under 13.

10. Changes to this policy

We may update this policy from time to time. Material changes will be reflected by updating the effective date above.
